Bakery Goes Digital: E-Document Workflow Halves Contract Approval Time

Russian IT integrator 1C-Rarus has implemented a digital document management system for the Tula-based bakery Fan Fan Bakery. The result is striking — contract approval times have been cut in half thanks to full automation of administrative workflows.

Streamlining Business Processes

The electronic document management system (EDMS) deployed by 1C-Rarus at Fan Fan Bakery is based on the 1C:Document Management platform. The bakery, a high-tech frozen bread manufacturer producing over 30,000 tons annually, needed to automate its routine processes. Its products are distributed through most national and regional retail chains across Russia.

With more than 200 employees and an expanding production base, the company faced growing administrative challenges. Document workflows relied on spreadsheets and email correspondence, making contract approval slow and difficult to track.

Management decided to digitize the process and selected 1C-Rarus, a well-known Russian developer of enterprise content management (ECM) systems. The system’s foundation, 1C:Document Management, was chosen for its compatibility with the existing 1C:ERP system used at the plant. In just three months, experts from 1C-Rarus customized and configured the EDMS for the bakery’s internal needs.

The platform now automates the entire contract lifecycle—from drafting to archiving—using built-in approval routes, role-based permissions, and integrated task tracking.

Better Oversight, Faster Execution

The new task management subsystem significantly improved accountability by clearly defining who is responsible for each step. Tasks are completed faster, and the system automatically monitors progress and deadlines.

A centralized document repository now provides full visibility across departments, while automated alerts notify employees about expiring contracts, pending approvals, and payments.

The EDMS is fully integrated with 1C:ERP, allowing seamless data exchange and unified access for all employees. Developers note that the digital platform enables real-time control and dramatically shortens procurement and administrative cycles. The biggest achievement: contract approvals are now twice as fast as before.

Building a Future Digital Ecosystem

Looking ahead, 1C-Rarus plans to expand the platform’s capabilities beyond contract management to include goods acceptance, quality claims, and other operational documentation.

Future modules may feature AI-powered predictive analytics to assess contractual risks, electronic signatures, and integration with external partners. In the long term, such automation could form part of a unified digital ecosystem across Russia’s food, agricultural, and light industries—setting a new standard for efficiency, transparency, and productivity.

The 1C-Rarus solution can also be scaled to other Russian regions or exported to neighboring CIS and Eurasian markets, where the 1C ecosystem already enjoys widespread adoption.
