Russia’s AI Agent Management Platform Speeds Up Hiring

Napoleon, a Russian software developer and technology partner for retailers and companies that manufacture and sell consumer goods, has deployed a new digital solution for hiring. The GigaCowork platform for creating and managing AI agents from Salyut for Business, an IT company within the Sber Group, is now being used by the HR team at Resurs Uvelka.

The software can process job applications, search resumes, conduct technical interviews and even prepare offers for candidates.

Less Time Spent Hiring

Before the platform was deployed, the team at Resurs Uvelka responsible for HR spent a significant amount of time on routine and standardized tasks. These included reviewing applications, searching for suitable resumes, communicating with candidates during the initial stage, scheduling interviews and preparing the necessary documents. The software has changed that workflow: AI agents now automate the main stages of recruitment. They handle the key steps in finding and screening candidates, from processing applications and making initial contact to preparing an offer. As a result, the time required for hiring has fallen by 44%, while the first contact with a candidate now takes 10 minutes instead of three days.

AI Is Involved at Every Stage

Notably, an AI agent can conduct technical interviews with candidates. This also reduces the need for participation by subject-matter experts. Their costs at this stage of the hiring process have fallen by 95%. The next stage is evaluating candidates, their experience and their skills. All interviews are recorded and transcribed, after which the system assesses how well each candidate matches the requirements of the specific position and the company’s values. Despite the increased role of AI in HR operations, the final hiring decision remains with a human employee. Once that decision is made, the software automatically generates an offer for the prospective employee, taking no more than a minute to prepare it.

Experts note that this digital solution uses AI not as a standalone HR tool for generating text or analyzing resumes, but as part of a single end-to-end hiring process. AI agents take over repetitive, standardized tasks and guide candidates through the different stages of recruitment. This allows HR teams and company managers to focus on evaluating candidates, communicating with prospective employees and making the final decision.

Benefits for Candidates and Businesses

The project shows how a new direction is emerging in Russia’s IT industry, with generative AI and AI-agent systems being integrated into corporate workflows. HR is becoming one of the first areas where businesses can quickly see the impact of AI: routine tasks take less time, the workload on HR professionals is reduced, and communication with candidates moves faster. These digital solutions are likely to be particularly useful for companies with large workforces, numerous open positions and intense competition for talent. The technology could also change the experience for job candidates by simplifying how they interact with employers. Candidates will receive feedback faster, while their communication with the company will become automated. Meanwhile, the final hiring decision will remain with a human employee, with AI serving only as a support tool for HR teams. In this model, AI handles routine operations while company employees focus on tasks that require expert judgment.

Deploying software like this could bring broader benefits, including higher productivity and the gradual digitization of management processes. Over time, Russian HR technologies and AI solutions could also become export products for countries facing similar demand for mass-hiring automation, including India, Brazil and Colombia. Entering global markets, however, will require adapting these digital solutions to each country’s local laws, language models and labor-market conditions.

At Napoleon, we first redesigned our own recruitment process with AI agents and saw firsthand which stages actually make sense to automate and where the decision should remain with a person. We are now bringing that experience to our clients’ processes. At Resurs Uvelka, we automated virtually the entire operational journey from application to offer: searching for and making initial contact with candidates, organizing and conducting interviews, and preparing feedback and offers. At the same time, final decisions remain with the HR team. This approach allows us not simply to deploy a standalone AI tool, but to redesign the entire recruitment process and achieve a measurable business impact
