Bank Kuban Kredit Saves Millions of Rubles After Switching to Directum HR Pro

Commercial Bank Kuban Kredit, one of the largest banks in southern Russia, now saves about RUB 13 million (approximately $167,000) each year after deploying Directum HR Pro. The HR electronic document management (HR EDM) platform is developed by a Russian company specializing in enterprise digital management software.

All HR records are stored within the bank's secure digital environment, where every user action is logged and auditable. Although 99% of employees use the platform, the risk of personal data leaks has been reduced to a minimum.

The Business Impact

Kuban Kredit operates more than 100 branches across five Russian regions and employs approximately 2,700 people. Previously, approving HR documents such as vacation requests and hiring orders often took several weeks. Signed paperwork had to be transported by couriers between offices, slowing document workflows, increasing operating costs, and creating a risk that legally significant documents could be lost. “Delivering documents to geographically remote offices and returning them with employees' signatures took around three weeks and carried an inherent risk of document loss or compromise,” said Galina Gritsenko, Head of HR Administration at Kuban Kredit.

Deploying Directum HR Pro eliminated paper documents, courier delivery, and manual administration. Over the past two years, nearly 100,000 HR documents have been processed through the platform. The signing time for each document has fallen to just five minutes, while document processing speed has increased by 85%. The bank's direct annual savings amount to approximately RUB 13 million.

Building an HR Ecosystem

The transition to electronic HR document management took four months instead of the two years originally projected. Directum HR Pro was integrated with the bank's 1C: KKB Zarplata i upravleniye personalom v kreditnykh organizatsiyakh (1C: KKB Payroll and HR Management for Banking Organizations) accounting system, covering 95% of the bank's operational requirements. No custom software development was required because the solution was deployed as a standard commercial product, while Directum continues to release regular updates.

The bank's next step will be upgrading to Directum HR Pro 2.7, enabling digital vacation schedule management. A mobile application is also planned to make the platform more convenient to use from smartphones.

Modern HR platforms are steadily expanding to cover the entire employee lifecycle, from remote hiring and leave management to corporate training and digital personnel archives. That evolution is being driven by deeper integration with 1S and HRM systems, widespread adoption of enhanced unqualified electronic signatures, and the growing use of AI to validate documents automatically and process HR requests.

Demand for solutions like these is expected to continue growing across banking, retail, manufacturing, and other industries that rely on geographically distributed operations and large workforces.

Electronic Documents Become Standard HR Practice

Russia's market for electronic HR document management began taking shape in 2020 after legislation allowed remote employees to sign employment documents electronically. At the same time, the Ministry of Labour launched a pilot project introducing electronic HR administration. That effort led to amendments to the Labor Code in 2021 formally recognizing electronic document management in employment relationships, creating the legal foundation for the sector.

Large companies began rolling out electronic HR document management in 2022. Early adopters included Mediascope, Tinkoff Bank, VSK Insurance House, cosmetics manufacturer ESTEL, and others.

During its first three years, Russia's HR EDM market expanded tenfold to RUB 3 billion (approximately $38.6 million). By the end of 2025, it had exceeded RUB 5 billion (approximately $64.3 million). More than 20% of Russian companies now use electronic HR document management either fully or partially, and analysts expect that figure to reach at least 80% by 2030.

Setting New Standards for HR Document Management

Russia's IT industry is building a unified, secure digital environment for HR document management that integrates directly with enterprise record-keeping systems. Kuban Kredit's experience demonstrates that domestic software can meet the financial sector's demanding requirements for personal data protection and regulatory compliance. The public sector faces similarly rigorous standards and is also rapidly moving HR administration into digital workflows. That transition aligns with the federal Tsifrovoye gosudarstvennoye upravleniye (Digital Public Administration) project, which calls for eliminating paper-based document management across government agencies. Over the next few years, electronic HR document management is likely to become standard practice for public institutions as well as medium-sized and large organizations with branch networks. Businesses already have a strong incentive to adopt it, as modern HR platforms are delivering measurable financial benefits worth millions of rubles.

Electronic document management is no longer optional for organizations with distributed operations. Today, our bank employs around 2,800 people, and more than 17,000 HR orders are processed electronically each year. Additional benefits include timely compliance with labor legislation, standardized solutions, and greater process automation
